AI Is Powerful. But Only If You Build It on Top of a System.

You Probably Have AI Backwards

I’ve been building the Nerd Productivity System for over 10 years. And over the past year, I’ve been layering AI on top of it.

What I’ve found is that AI can be incredibly powerful when it’s built on top of a proper productivity system. One that contains your goals, tasks and contexts. Because this system becomes the foundation for AI to work with.

Without that foundation, AI is just a glorified search engine.

You type generic prompts. You get generic answers. You spend 20 minutes rewriting the output to make it actually relevant. And you wonder what all the fuss is about.

The problem isn’t the AI. The problem is that the AI has no idea who you are, what you’re working on, or what matters to you right now.

The 3-Step Foundation That Makes AI Useful

Before AI can do anything meaningful for you, it needs something to work with. That means getting your life and work into a system it can understand.

I do this in Asana, but the tool matters less than the structure. Here are the three steps.

Step 1: Get everything out of your head

Every goal, errand, idea, commitment. All of it goes into Asana instantly. Not sorted. Not prioritised. Just dumped.

This has two benefits.

Your stress levels drop because your brain stops trying to remember everything. The Zeigarnik Effect explains why we obsess over unfinished tasks. Once they’re captured in a trusted system, that mental loop closes.

And you can actually look at your work from a distance instead of being buried in it. You can objectively choose the right task to work on rather than being reactive all day.

Step 2: Organise around the buckets of your life

Business. Clients. Family. Kids. Health. Finances. Personal. Put every task in one (or multiple) buckets.

In a tool like Asana, this takes maybe 20-30 minutes to set up. After that, keeping it updated is quick and easy.

This is what most people skip. They capture tasks but leave them in one giant, unsorted list. That creates the same overwhelm they started with. Organising by context means you only see what’s relevant to what you’re doing right now. Working on client projects? You see client tasks. Doing family admin on a Saturday? You see family tasks. Everything else is hidden.

Step 3: Plan your work

Loosely and flexibly allocate your time across the different buckets of your life. Figure out which blocks are for proactive deep work on the stuff that matters, and which blocks are for admin, meetings and reactive stuff.

This is where the big rocks concept comes in. Schedule the important work first. Let the small stuff fill in around it. If you don’t protect time for the work that actually moves the needle, meetings and emails will consume every available hour.

Now AI Becomes Genuinely Powerful

Once you’ve done this foundational work, something changes.

A tool like Claude Projects or Claude Co-Work can now operate across multiple buckets at once. Each bucket becomes a workspace where the AI already knows your goals and has full context.

Instead of typing generic prompts into a chatbot, you have workspaces that understand your business, your clients, and your situation. Tasks that used to take hours become 5-minute outputs. Not because the AI is magic. Because you’ve done the work of defining what each area of your life needs.

Context beats prompts, every time.

A client proposal that used to take 3 hours? Five minutes, because the AI workspace already has the client’s background, your pricing, and your approach. A weekly plan that used to be a 45-minute Sunday evening exercise? Two minutes, because the system already knows your priorities, your calendar constraints, and your current projects.

The Foundation Comes First

I spent 10 years building and refining the productivity system. The AI layer is new. But it only works because the foundation was already there.

If you skip the foundation and go straight to AI, you’ll get mediocre results and wonder what you’re doing wrong. If you build the foundation first, AI becomes a genuine force multiplier across every area of your life.
